A report is not written once. The doctor first has it in their head, then says it aloud or types it, then arranges it into the form the institution requires, then copies it into the system. Each of those steps takes time that is not time with the patient. AI dictation joins those steps: it turns the spoken report into text in your specialty’s template, and you review and sign it.
How much time goes to documentation
For clinics in BiH, Croatia and Serbia, there are no publicly available measurements. The most cited measurement from other countries shows how large a share of the working day goes to administration.
- In a study that followed 57 physicians in the US across four specialties, physicians spent 27.0% of their working time in direct contact with patients and 49.2% on the electronic health record and administrative work (Sinsky et al., Annals of Internal Medicine, 2016).
The exact number differs from clinic to clinic. The pattern is the same: writing reports is a large part of the job.
What the flow looks like with AI dictation
1. You dictate or record. You dictate the report as usual, or turn on recording of the conversation with the patient at the start of the exam. When recording a conversation, the AI separates your voice from the patient’s.
2. The text goes into the template. What is said is arranged into the sections of your specialty’s template, for example indication, findings and conclusion. The template can be your existing Word document or a new template with sections and writing style instructions.
3. You correct by voice. You read the report and say what needs correcting, without typing. The AI writes down what you said; the final text is yours.
4. You sign. The doctor reviews and signs the report, like any other report.
5. Word or straight into the system. You download a Word document, or the browser extension enters the text straight into the report field in the hospital system.
What AI dictation does not do
AI dictation is a documentation tool. It does not make diagnoses, does not suggest therapy or doses and does not decide what belongs in a report. It writes down and arranges what the doctor dictates. That is why reviewing the report before signing is always the doctor’s job.
What to watch for when you introduce AI dictation
- Language. Check that the system recognizes the language you actually dictate in, including the medical terms you use every day. AiMED Dictate recognizes more than 30 languages, including Bosnian, Croatian, Serbian, English and German.
- Template. The template that saves the most time is one that looks like the reports you already write. Start from your existing document.
- Where dictation is processed. Ask where the dictation is processed and whether it is stored. AiMED Dictate processes dictation in the EU and does not store it; the report stays in your system.
- Recording conversations. The patient should know that the conversation is being recorded.
- A demo on a real report. The best test is a report from your own specialty. That is why we show AiMED Dictate on exactly that.
